The short version

This website has no form, no quote tool, no online scheduling and no payments — there is nothing here to submit. The only way to reach us is by telephone or email. When you call, your call is routed to one independent, licensed local contractor so they can help you, and that contractor pays us a referral fee for the connection. We do not sell your contact details to lead brokers or hand them to a room full of call centres.

Who we are

DuctlessFix.com is an independent referral service for ductless mini-split and heat pump work. We are not an HVAC contractor, we hold no contractor licence, and we do not perform installation, repair or maintenance ourselves. This policy covers this website and the phone number published on it. It does not cover what an independent contractor does with your information after we connect you — once you are talking to them, their own privacy practices apply, and you should ask them about those directly.

What we collect

When you call us

Calls to the number on this site are handled by a third-party call-routing provider acting on our behalf. That provider processes the information a telephone call necessarily carries — the number you are calling from, the time and length of the call, and which number you dialled — together with whatever you choose to tell us during the call, such as your name, the town you are in, and what is wrong with your system. We ask only for what a contractor needs in order to help you.

Where the routing provider records or transcribes calls, it does so under its own policy and any notice given at the start of the call. We do not use call content for advertising and we do not build a marketing profile from it.

When you email us

If you email the address published on this site, we receive your email address and whatever you write. We use it to answer you.

When you simply read the site

Our web host keeps ordinary server logs — IP address, browser user-agent, the page requested and the time — which exist to keep the site running and secure. That is standard hosting infrastructure, not a tracking programme.

What we do not collect

  • No form submissions, quote requests or booking requests — this site has none of those mechanisms.
  • No payment or card details. We never take payment from homeowners.
  • No accounts, logins or passwords for visitors.
  • No advertising pixels, no cross-site tracking, and no third-party analytics on the public site as published.
  • No cookies are set on your browser by an ordinary visit to this site.
  • We do not knowingly collect anything from children under 16.

If any of that changes — for example if we add analytics so we can see which pages earn calls — this page is updated before the change goes live, and the date at the top moves with it.

Why we use it

  • To route your call to a contractor who serves your area and works on your equipment.
  • To answer questions you send us.
  • To account for and audit referrals — which calls were routed where, and whether they were handled.
  • To keep the site and the phone line secure and working, and to meet our legal obligations.

Who receives it

The independent, licensed contractor your call is routed to. That is the whole point of the call, and it is the main disclosure this policy exists to make. We route a call to one contractor for a given request — we do not blast your details to several companies to bid against each other.

Our service providers, strictly so they can run the service for us: the call-routing provider, our web host, and our email provider. They may use your information only to provide that service.

Anyone we are legally required to disclose to — a lawful request from a public authority, or where disclosure is necessary to establish or defend a legal claim, or in connection with a sale or reorganisation of the business.

That is the complete list. We do not sell your contact details to lead brokers, list rentals, or marketing databases.

The pay-per-call model, and what it means for your data

The contractor who receives your call pays us a referral fee for the connection. You are never charged. Because that disclosure is made in exchange for something of value, some state privacy laws — California's in particular — may treat it as a "sale" or as "sharing" of personal information even though no list is being sold. Rather than argue the label, we give you the choice directly: tell us not to route your details onward, and we will not. In practice that means we cannot connect you to a contractor, so the honest answer is that this is the trade-off of using a referral service at all.

How long we keep it

We keep the record of a referral — the call, where it was routed and when — for as long as we need it to operate, account for and audit the service, and to handle any dispute or legal obligation arising from it. Call detail records and any recordings held by the routing provider are kept under that provider's own retention schedule. Emails you send us are kept until you ask us to delete them. Server logs are kept on our host's ordinary rolling schedule.

Your rights and choices

Wherever you live in the United States, you can ask us to tell you what information about you we hold, to correct it, or to delete it, and you can tell us not to pass it on. Contact us using the details below and we will respond.

If you are a California resident, the CCPA as amended by the CPRA gives you specific rights: to know what categories of personal information we have collected, where it came from, why we collected it and who we disclosed it to; to receive a copy of it; to have it corrected or deleted; to opt out of its sale or sharing; and to limit the use of sensitive personal information — though we do not collect information in that category. Residents of other states with comparable privacy laws have equivalent rights, and we handle every request the same way rather than asking you to prove which state you are in.

To exercise any of these, call the number on this site or email us. We may need to ask you a question or two to confirm the request really comes from you — usually the phone number the call was made from. An authorised agent may act for you with written permission. We will never charge you, refuse you service, or give you a worse experience for exercising a privacy right.

This site runs no advertising or cross-site tracking, so there is nothing here for a Global Privacy Control or Do Not Track browser signal to switch off. If that ever changes, we will honour those signals as an opt-out of sale and sharing.

Security

We keep the amount of information we hold deliberately small, which is the most effective protection available to a business of this size, and we use reputable providers for the site and the phone line. No system is perfectly secure, and we will not claim otherwise.

Changes to this policy

When we change this policy we update the date at the top of the page. If a change materially affects what we collect or who receives it, we will say so plainly here rather than bury it.
